Role
As the Office Manager at Bedrock Energy, you will be responsible for all aspects of setting up and running our initial office space. We’re currently renting a co-working space and plan to move into our own space later this year. You will be responsible to help find, lease, furnish, and set up the space for our team. You will then be responsible for keeping it running, organized, and welcoming. As an early-stage technology startup with many fast-moving initiatives, we’re looking for someone who is adaptable and can contribute on a variety of other operational and administrative tasks as needs arise.

Responsibilities

  • Assist leadership in finding and securing suitable space for our team and equipment
  • Manage all aspects of the office move-in, such as furnishing, branding, timelines, and team communication.
  • Maintain a smooth running office by handling all administrative tasks, including utilities, taxes, permits, and relationship management with owner and neighbors
  • Source and manage workplace vendors and contractors, including but not limited to, janitorial, catering, pantry services, pest control, HVAC, plumbing, electrical, etc.
  • Support procurement and set-up of IT equipment in company's early-stage, including managing physical arrangement of the office space's IT infrastructure
  • Establish office policies, procedures, and budget, and ensure that they are implemented appropriately
  • Develop scalable systems for managing one-off and ongoing administrative tasks
  • Onboard new employees, including setting up workstations and ensuring that their first day is memorable
  • Greet visitors and answer inbound messages as a receptionist (phone, email, etc.)
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Conceptualize and execute company events, offsites, and workplace engagement initiatives
  • Promote the company's values and help develop its office culture
  • Proactively engage with local leadership to ensure their team’s needs are being met

Qualifications

  • 5+ years of experience in an administrative, operational, or executive assistant role. Previous experience in a fast-paced start-up is a plus
  • Track record of managing stakeholders and completing projects autonomously
  • Strong time management and organizational skills for prioritizing and completing a wide range of competing tasks
  • Ability to communicate clearly and effectively with others
  • Must be proficient with Google suite, Slack and Airtable
  • Ability to quickly learn and integrate new technology tools to accomplish goals (Notion, AI tools, etc.)
  • Exceptional attention to detail is required
  • Self-motivation and drive are required
  • Must have a valid Texas driver's license and be safe driver
  • Passion for the clean energy transition is a plus
