Role Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO and broader executive team. This person will play a critical role in ensuring operational excellence by supporting the leadership team’s complex calendars, communications, and strategic priorities across the growing fast-growing startup.
Reporting to and closely partnering with the Chief of Staff, you’ll streamline operations and maintain alignment across the CEO, COO, CTO, and CCO. If you thrive in a fast-paced collaborative environment, and view organization as your core craft, then this opportunity is ideal for you!
This role is remote with travel to HQ in El Segundo, CA up to 20%. Preference for those willing to work Pacific Time Zone.
Responsibilities
Executive Calendar and Schedule Management
- Manage complex calendars for the C-Suite, including travel, participation in conferences, speaking engagements, and external events.
- Lead end-to-end coordination of meetings, offsites, board-related activity, and high-impact engagements, including travel.
- Anticipate needs and proactively prioritize meetings by impact to remove friction and protect executives’ time.
- Ensure executives are well informed of responsibilities and prepared for meetings with briefings, clear agendas, and materials.
- Track action items and follow-up requests (meetings, materials, deliverables).
Communications and Relationship Management
- Manage the CEO’s high-volume inbox, flagging priority communications, and drafting responses when appropriate.
- Serve as a gatekeeper for incoming requests and communications.
- Track high-value relationships, proactively following up on outstanding deliverables, ensuring timely, accurate responses to key conversations or commitments.
- Maintain CRM contact lists, promptly adding new contacts and information to ensure data integrity.
Operations and Cross-Functional Support
- Support day-to-day operational needs of the executive team, helping ensure smooth internal communications and coordinated commitments.
- Collaborate with colleagues to maintain internal records, executive alignment, and accountability.
- Provide ad hoc assistance with key events, materials, programs, and strategic projects.
Requirements
- Bachelor's degree in business and/or relevant experience.
- 3+ years of experience supporting senior executives, ideally in a startup or high-growth environment.
- Strong written and verbal communication skills.
- Exceptional organizational skills, attention to detail, and follow-through.
- Proven ability to manage complex calendars and competing priorities in a fast-evolving environment.
- Ability to anticipate needs and solve problems with a high level of discretion.
- Comfortable collaborating across multiple stakeholders simultaneously.
- Self-motivated and team oriented.
- Highly skilled in enterprise tools (ex. Slack, Microsoft Suite, etc.)
- Curious and proactive about learning and adopting new technologies (including AI-enabled tools) to drive efficiency, improve decision-making, and scale executive impact.
Preferred Qualifications
- Experience in, and comfort with, regularly exercising independent judgment on matters of significance.
- Proven ability to manage operational needs across multiple senior executives at once.
- Strong knowledge of relationship management/CRM tools.
- Experience using Airtable

Base Pay: $80,000 - $90,000 USD/year. The salary is subject to the applicant's skills, qualifications, experience, and geographic location.
